Who we are
RNG Automations LLC is an Illinois company based in the Chicago area. We build custom AI agents for small businesses: software that reads documents, answers leads, and enters records into the systems a business already uses. Questions about this policy go to ricky@rngautomations.com.
Two kinds of people read this page: visitors to rngautomations.com, and clients whose business runs software we built. The sections below say which parts apply to each.
What we collect on this website
The website has no accounts, no sign-up, and no advertising trackers.
- Booking a call. The “Book a call” button opens Cal.com, which asks for a name and email so the call can be scheduled. Cal.com handles that under its own privacy policy; we receive the name, email, and any notes typed into the booking.
- Email. If you email us, we keep the message and use it to reply.
- The live demo. The demo on the home page replays a recorded conversation by default. If you switch it to live mode and type a message, that text is sent to our AI provider, Anthropic, to generate the reply. We do not store what you type. To prevent abuse, the site keeps a count of demo requests per internet address for a short period; that count is the only thing it keeps.
- Hosting logs. Our hosting provider, Netlify, records standard server logs (internet address, page requested, time) for security and to keep the site running. We do not combine them with anything else.
What we collect when we work for a client
A client engagement is different. To build and run an agent for a business we handle the business’s own records, and only with that business’s authorization.
- Documents the client gives us. For example rate confirmations, bills of lading, purchase orders, invoices, and the names, addresses, weights, and amounts printed on them. These come from the client, on the client’s instruction, for the client’s own use.
- Data from systems the client connects. When a client connects the software to QuickBooks Online, the software reads and writes records in that one company file through Intuit’s API: company information, customers, products and services, invoices, and attachments. It accesses only the client’s own company and only the record types the agreed work needs. The client grants that access through Intuit’s own sign-in screen and can revoke it at any time from within QuickBooks.
- Operating records. Logs of what the software did and what it cost to run: which document was read when, how confident the reading was, and the token usage of each call to the AI provider. These are used to measure accuracy and cost, and they are shared with the client.
How we use it
- To build, test, run, and support the automation the client agreed to.
- To create, read, and update records in the client’s own systems, on the client’s instruction.
- To measure how accurate and how expensive the software is, and to report that to the client.
- To reply when you contact us.
We do not sell data. We do not use client documents or data to train AI models. We do not use it for advertising. Nothing from one client is ever used for another client.
Who processes it for us
A few service providers handle data on our behalf so the software can work. Each one sees only what its job requires, under its own terms.
- Anthropic provides the AI model that reads documents and drafts replies. A document is sent to the model to be read; the model’s API terms state that data sent through the API is not used to train its models.
- Intuit runs QuickBooks Online. When a client connects it, records move between the software and the client’s QuickBooks company through Intuit’s API, under Intuit’s terms.
- Twilio receives the photos a client’s drivers text to our business number; each photo is removed from Twilio once it is filed on our own computers.
- Netlify hosts this website. Google Workspace carries our email. Cal.com schedules calls.
Beyond those, we share data only if the law requires it, or to protect the rights and safety of a client, a visitor, or ourselves.
Where it lives and how long
Client documents are processed on equipment we control, not uploaded to a shared consumer service, and access is limited to the people doing the work. Records created for a client stay in the client’s own systems and belong to the client.
We keep client data for the length of the engagement and as long as is needed to support the software after it. When an engagement ends, or earlier on request, we delete the documents and data we hold for that client. Connection credentials for a client’s systems are deleted with them. A client can also cut off the software’s access at any time by disconnecting it inside QuickBooks Online; that revokes our access immediately.
Website email and booking details are kept for as long as the conversation is live.
Security
We use reasonable technical and organisational measures for a company of our size: access keys are never shared between clients, client documents are kept out of shared code repositories, connections to third-party services use their standard encrypted channels, and anything unreadable or uncertain is flagged for a person rather than guessed at. No system is perfectly secure, and we will tell an affected client promptly if we learn of a breach involving their data.
Your choices
- A client can disconnect the software from QuickBooks Online at any time from within QuickBooks.
- A client or a visitor can ask for a copy of what we hold about them, or ask for it to be deleted, by emailing ricky@rngautomations.com. We answer within 30 days.
- Anyone who does not want text sent to the AI provider can leave the demo in replay mode.
Children
The website and the software are for businesses and are not directed at anyone under 18.
Changes
When this policy changes, the date at the top changes with it. Clients are told about material changes by email before they take effect.
